Organizational Context
The Contracts Associate position is within the Strategic Sourcing Team of UNFPA's Supply Chain Management Unit (SCMU), reporting to the Category Analyst. The SCMU, operational since January 2022, ensures effective and efficient delivery of life-saving reproductive health products and programme supplies.
Job Purpose
The Contracts Associate provides foundational support for strategic sourcing, contracting, and procurement services for health commodities. This role ensures the smooth day-to-day operations of these critical supply chain functions, contributing to the effective and efficient delivery of essential supplies. By supporting the Category Analyst, the position plays a key part in managing procurement processes, from supplier research and agreement preparation to order review and compliance, ultimately supporting UNFPA's mandate to provide reproductive health products and services globally.
Responsibilities
The role involves providing foundational support for strategic sourcing, contracting, and procurement of health commodities. Key duties include researching potential suppliers and preparing Blanket Purchase Agreements (BPAs), developing a UNFPA product catalogue, and reviewing supplier compliance with contractual terms. The Associate will implement sourcing and procurement strategies, contribute to knowledge retention and sharing, and review/approve procurement orders within authorized limits, preparing submissions for the Contracts Review Committee when necessary. Responsibilities also extend to implementing vendor sanction decisions, supporting Governance, Risk, Compliance, and Reporting functions, and providing input for forecasting exercises. Additionally, the role supports capacity strengthening initiatives, knowledge sharing, and contributes to partnerships and resource mobilization efforts by assisting with proposals and data analysis.
Work Experience
A minimum of 6 years of progressive experience in procurement, logistics, or supply chain operations is required; this is reduced to 3 years for candidates with a relevant university degree. Experience in facilitating preparatory work for international public health coordinating bodies, using Enterprise Resource Planning (ERP) systems, and strong interpersonal skills for partnership development are required. Familiarity with Sexual and Reproductive Health (SRH) products and global market dynamics is a strong asset.
