Job Purpose
The Administrative Assistant (SSR) will ensure the efficient, transparent, and timely execution of operational, financial, and logistical processes in accordance with UNFPA rules and procedures. This role is crucial for monitoring, tracking, and accountability of projects, especially within humanitarian responses and in supporting implementing partners. The position contributes to the effective and quality achievement of the Country Office's programmatic objectives, particularly within the Sexual and Reproductive Health (SSR) component.
Responsibilities
The Administrative Assistant will provide support to the UNFPA Country Office in Venezuela, specifically to the Sexual and Reproductive Health (SSR) component. Key duties include assisting with financial accounting for assigned projects and implementing partners, verifying invoices and supporting documents, and providing technical support for partner accountability. The role involves administrative support for selecting implementing partners, suppliers, and consultants, managing administrative processes for shipments, and preparing reports with financial breakdowns. Additionally, the assistant will help with individual service contract recruitment, procurement of goods and services, processing payments, and confirming delivery. Support for logistics of conferences and workshops, administrative tasks, and travel arrangements, including budget preparation, reservations, and ticket purchases, are also required.
Work Experience
Experience in data management and information systematization. Experience in financial monitoring and project inventories. Experience in procurement and supply chain processes, with the ability to interact with and manage suppliers. Experience in preparing periodic or special administrative and financial execution reports. Knowledge of the humanitarian structure and experience in humanitarian response is an advantage. Familiarity with international cooperation and UN operations is desirable.
Skills
Advanced proficiency in Microsoft Office Suite (Word, PowerPoint, Excel). Knowledge of Google Suite (Drive, Gmail, Docs, Sheets, Slides, Meet). Experience with ERP management platforms is desirable. Fluency in Spanish is required; basic English is desirable. Competencies include results orientation, accountability, analytical thinking, teamwork, and time management.
