The Procurement and Logistics Associate is situated within the UNFPA Country Office in Ukraine, supporting effective programme delivery and humanitarian needs. Reporting to the Supply Chain Specialist, this role contributes to the efficiency, effectiveness, and integrity of the supply chain function. Job Purpose
The Procurement and Logistics Associate is crucial for the successful implementation of UNFPA's Country Programme in Ukraine by ensuring efficient and compliant procurement and logistics activities. This role provides essential operational support to both internal and external clients, guaranteeing that services are client-oriented and adhere to all applicable rules, procedures, and guidelines. By managing procurement and logistics effectively, the associate directly contributes to the timely and successful delivery of UNFPA's programmes and humanitarian assistance.
Responsibilities
The role involves ensuring effective procurement services by supporting the development and monitoring of procurement plans, guiding requestors, and processing solicitation documents. This includes drafting RFQs, ITBs, and RFPs, supporting bid evaluations, and conducting market research to ensure value for money. The associate will manage vendor records, requisitions, and purchase orders in the UNFPA ERP system, coordinating with suppliers and stakeholders on order execution and contract management. Additionally, the position supports logistics operations, including receipt, inspection, storage, and distribution of goods, coordinating customs clearance, and managing inventory. Accurate data entry in the Ukrainian Humanitarian Aid System and maintaining logistics documentation are key. The associate also supports distribution planning, convoy requests, and monitors supply chain activities, ensuring compliance with all UNFPA policies and procedures.
Work Experience
Required experience includes proficiency in MS Office, particularly Excel, and advanced spreadsheet/database skills. Strong knowledge of public procurement and logistics procedures is essential. Prior experience with a UN agency or international organization in procurement and logistics is desirable, as is familiarity with ERP systems like Quantum.
