The Fleet Coordination/Dispatcher position is based in the UNFPA Ukraine Country Office, reporting directly to the International Operations Manager. Job Purpose
The Fleet Coordination/Dispatcher is responsible for the comprehensive management of the Country Office's vehicle fleet, ensuring the provision of safe, reliable, and efficient transportation services essential for UNFPA's operations. This role involves leading and supervising drivers, overseeing all aspects of vehicle maintenance and operational readiness, and providing direct driving support to senior UNFPA officials and visitors when required. The position demands a high level of discretion, integrity, and responsibility, coupled with a strong understanding of UN protocol, security procedures, and operational necessities.
Responsibilities
This role involves planning and coordinating daily vehicle and driver missions to optimize resource utilization and timely client support, reviewing mission plans to prevent overlaps and ensure cost-efficiency. The Fleet Coordination/Dispatcher is responsible for effective management and supervision of drivers, ensuring they understand their responsibilities, receive proper training for safe driving standards, and benefit from fair performance appraisals. Responsibilities also include managing drivers' leave and entitlements according to regulations. Furthermore, the position oversees UNFPA vehicle management and maintenance, including daily inspections, coordinating regular maintenance and repairs to ensure operational efficiency, and maintaining detailed records of servicing and usage. This includes ensuring all vehicle documents are up-to-date and managing accident procedures. The role also supports administrative and operational tasks, such as reviewing procurement requests for fleet-related items, verifying goods and services, maintaining fleet management records, and contributing to knowledge sharing.
Work Experience
Required experience includes good written and verbal communication, strong organizational and time management skills, basic data management, and proficiency in standard office software. Familiarity with transportation operations, basic fleet documentation, vehicle maintenance procedures, and UN procedures is advantageous. Previous experience in administrative support, operational logistics, or with the UN system is an asset.
