Job Purpose
The Programme Assistant will provide direct support to the Director of the Division of Priority Africa, under the overall authority of the Assistant Director-General for Priority Africa and External Relations. The primary objective is to ensure the quality and consistency of office work flow and effective management of the Division's information. This role is crucial for the smooth operation of the Division, supporting its mandate to promote education, culture, science, and communication in Africa. The incumbent will contribute to the organization's efforts in fostering partnerships, advancing innovation, and promoting sustainable development across the continent, ensuring that the Division's activities are well-coordinated and efficiently managed.
Responsibilities
The Programme Assistant will attend meetings with Member States, partners, Programme Sectors, and Field Offices, preparing minutes and following up on action items. They will collaborate with team members to assess needs for meetings, events, and travel, guiding document processing timelines and procedures. The role involves supporting the coordination of conferences, events, and outreach activities with various stakeholders. Additionally, the incumbent will assist in reviewing documents, briefing notes, and reports, ensuring timely dissemination of responses and drafting formal communications. Support will be provided for programme activity coordination, project evaluations, and budgetary data review, including project and programme reporting and monitoring. The Assistant will manage administrative tasks, maintain filing systems, and oversee contractual documents, requisition processing, and payment tracking to ensure financial compliance. A key responsibility includes managing the Director's calendar, scheduling appointments, and handling correspondence efficiently.
Work Experience
A minimum of five years of relevant work experience is required in providing programme and administrative support services, preferably within a national or international environment. Experience within the UN system or another international organization is desirable.
Skills
Proficiency in interpersonal and communication skills, including drafting. Strong organizational and coordination abilities. Capacity to work effectively under pressure, manage complex situations, and adapt priorities. Demonstrated diplomacy, discretion, good judgment, and professional integrity. Ability to handle information objectively and confidentially. Excellent IT skills, particularly with MS Office Suite. Familiarity with the UN system and knowledge of the Africa region are advantageous.
