Organizational Context

The UNESCO Regional Multisectoral Office for Central Africa, based in Yaoundé, supports member states in implementing Sustainable Development Goal 4 (SDG4) and transforming their education systems. It focuses on policy development, technical support for education management information systems, teacher training, ICT integration, and improving learning quality, equity, and inclusion. To ensure effective program delivery, the office is recruiting two Administrative Assistants for Education Projects.

Job Purpose

The Administrative Assistants for Education Projects will provide essential administrative support services under the overall authority of the Director of the UNESCO Regional Multisectoral Office for Central Africa and the direct supervision of the Regional Education Advisor. They will contribute to the preparation of annual work plans and terms of reference for education project activities. Key functions include participating in meetings, drafting minutes, monitoring project activities and budgets, and providing logistical support for missions, workshops, and conferences. They will also assist with procurement, financial tasks, and document management, ensuring compliance with UNESCO rules and procedures. This role is crucial for the efficient implementation of education initiatives across Central Africa.

Responsibilities

Key responsibilities include contributing to the preparation of annual work plans and terms of reference for education project activities. The role involves participating in meetings with partners and drafting meeting minutes. Monitoring project activities and budgets, including workshop logistics, is essential, requiring regular expense updates and liaison with the administrative unit. The position provides administrative and logistical support for missions, meetings, workshops, and conferences, encompassing document preparation, participant coordination, and logistical arrangements. Assistance with procurement, logistics, and financial tasks is required, including processing contracts, purchase orders, and travel arrangements, data entry, and preparing payment dossiers. The role also involves assisting in the creation, revision, and delivery of documents such as correspondence, reports, and presentations. Archiving project-related documents and following up on requests in coordination with various teams and partners is also a core duty. The incumbent will execute other tasks as needed to support the Education Sector's priorities.

Work Experience

A minimum of 5 years of progressive professional experience in administration, human resources, finance, or procurement is required. Proven experience in administrative and logistical management, including organizing meetings, taking minutes, managing schedules, and coordinating stakeholders, is essential. Experience with administrative procedures (archiving, data entry) within the UN system or a multicultural environment is preferred.

Skills

Strong skills in supporting the management and implementation of education projects. Excellent interpersonal and communication skills, including correspondence and document correction. Strong analytical and technical skills. Good planning and coordination abilities, with a demonstrated capacity to prioritize and organize work. Ability to take initiative and provide timely, quality support. Proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint) is essential. Ability to work under pressure and meet deadlines is required.
