This Project Assistant position is within the Associated Schools Network (ASPnet) unit, supporting its mission to build peace, intercultural understanding, and sustainable development through education.
Job Purpose
The Project Assistant will provide essential administrative and operational support to the Associated Schools Network (ASPnet) unit within UNESCO's Education Sector. This role is crucial for ensuring the efficient management of the unit's programmatic and financial activities. The incumbent will handle correspondence, maintain information systems, prepare contracts, and support reporting on program implementation. They will also assist in organizing events, contribute to digital outreach, and liaise with other UNESCO entities. This position plays a key part in facilitating the smooth operation of ASPnet's initiatives and supporting its global network of educational institutions.
Responsibilities
The Project Assistant will manage incoming and outgoing correspondence, ensuring timely follow-up on actions. This includes preparing routine correspondence, reviewing documents for accuracy in English and French, and providing informal translations. The role involves maintaining information systems, databases, and distribution lists, and processing data requests. Additionally, the incumbent will prepare draft contracts, track their processing and payments, and perform general administrative tasks such as leave recording and file management. They will compile and update information for program reporting, assist in budget updates, and proofread documents. The Project Assistant will also support the organization of virtual and in-person meetings and events, contribute to ASPnet's digital outreach by drafting content and using social media, and liaise with other UNESCO networks. A key responsibility includes supporting the processing of new school applications by reviewing and assessing their compliance with UNESCO criteria.
Work Experience
A minimum of three years of relevant work experience in administrative or secretarial tasks is necessary. Experience in program support, preferably in an international setting, and in organizing meetings or events is also required.
Skills
Proficiency in standard office software (Microsoft Office Suite, SharePoint) is essential. Strong interpersonal, communication, organizational, and coordination skills are needed. The ability to manage multiple tasks, prioritize, work under pressure, and collaborate effectively in a multicultural team is important. Knowledge of UNESCO rules and procedures is desirable.
