Job Purpose
The primary purpose of this consultancy is to provide essential administrative, finance, and project implementation support to UNESCO's Education Programme in the Pacific. This role is crucial for the timely and efficient delivery of key education projects within a six-month period. The consultant will be responsible for organized project coordination, meticulous preparation and maintenance of financial documentation and records, effective records management, and clear documentation of meetings and workshops, including proceedings, decisions, and follow-up actions. This support is vital for the overall success of the programme's objectives in strengthening education systems across Pacific Island countries.
Responsibilities
The consultant will provide comprehensive administrative support, including maintaining an organized implementation calendar, assisting with logistical arrangements for meetings and events, and supporting staff travel by obtaining quotes and compiling documentation. Responsibilities also include managing contact lists and office supplies. In finance support, the consultant will organize financial documentation, support vendor registration processes, assist with initiating contracting processes, and manage workshop financial acquittals by compiling all necessary receipts and supporting documents. Project implementation support involves coordinating project meetings, managing logistics for events and workshops, assisting with basic data collection and organization for monitoring, and supporting the preparation of project implementation updates and reporting inputs. All tasks will be performed under the guidance of the supervisor, ensuring accuracy and completeness.
Work Experience
Extensive professional experience is not required. However, practical exposure through internships, volunteer work, community service, student leadership, or part-time employment in office administration, finance, records management, event coordination, or communications would be advantageous.
Skills
The ideal candidate will be eager to learn, reliable, respectful, and capable of following instructions. A willingness to grow professionally within a multicultural UN working environment is essential. Good written and spoken English is required, with knowledge of Samoan being an asset.
