Job Purpose
The Administrative Assistant will provide crucial support to the Sector for Administration and Management (ADM) in Baghdad. This role involves managing a range of administrative and financial tasks to ensure the efficient functioning of the office. The incumbent will act as a key point of contact for information and guidance on administrative procedures, progress of delivery, and adherence to standards and deadlines. This position directly impacts the work of others within the administrative unit and contributes to the overall operational effectiveness of the Field Office.
Responsibilities
The Administrative Assistant will be responsible for providing comprehensive administrative support, including drafting correspondence, maintaining files, and assisting with budgetary and financial reports. Key duties involve acting as a certifying officer, reviewing reports for accuracy, and providing guidance on administrative rules and procedures. Financial management responsibilities include coding and reconciling transactions, processing payments, and generating expenditure reports. Budget management entails assisting in budget preparation and monitoring, preparing cost estimates, and alerting supervisors to potential funding issues. The role also includes arranging official travel, processing travel claims, and maintaining travel records. Additionally, the incumbent will perform other duties as assigned to support office operations and contribute to process improvements.
Work Experience
A minimum of 5 years of relevant work experience in administration, finance, or a related area is necessary for this position.
Skills
Proficiency in interpersonal and communication skills, with a strong service orientation. Ability to analyze financial data and monitor budgets. Excellent organizational and coordination skills, with the capacity for initiative and prioritization. Teamwork skills and the ability to work efficiently under pressure are essential. A strong sense of integrity and confidentiality, along with good knowledge of MS Office and database packages, is required.
