Job Purpose
The Senior Visa Assistant is responsible for managing ICTP's visa support services under the Director's authority and the Senior Coordinator's supervision. The incumbent will support visitors in obtaining visas and permits of stay, assist staff and visitors already in Italy with visas for duty travel and Schengen Area movement, and facilitate the acquisition of UN Laissez-Passer and Ministry of Foreign Affairs ID Cards for staff. A key aspect of the role is maintaining direct communication with Italian authorities and international embassies/consulates regarding all visa-related matters.
Responsibilities
The Senior Visa Assistant is accountable for the comprehensive management of visa and permit of stay services, including preparing, processing, and signing approximately 2,500 entry visa documents annually. This involves advising staff and visitors on visa and permit of stay issues, providing procedural guidance for family reunion visas, and liaising with foreign diplomatic and consular authorities for visas for ICTP officials and visitors travelling internationally. The role requires staying current with Italian and Schengen visa laws, preparing and disseminating guidelines on visa and permit procedures, and participating in coordination meetings with regional and national authorities. Regular liaison with Italian authorities on immigration matters is crucial. The incumbent will also advise management on immigration policies, resolve complex cases, supervise the Front Office Clerk, and manage the issuance of UN Laissez-Passer and Ministry of Foreign Affairs ID cards. Additionally, the role involves interacting with diplomatic representatives abroad and in Italy, consular agents, local police, and immigration authorities, as well as cooperating with scientific institutes.
Work Experience
A minimum of eight years of relevant professional experience in visa, immigration, or consular/diplomatic support services is required. Experience with Italian and/or Schengen visa procedures and immigration authorities is essential, as is experience liaising with government bodies, diplomatic missions, or consular services. Experience within an international organization, UN system institution, or scientific research centre is also beneficial.

The role demands sound independent judgment for managing complex cases with discretion and tact.
