The UNESCO Regional Office in Jakarta seeks a Project Assistant to support the Communication and Information Sector (CI). This role is crucial for implementing projects focused on Press Freedom and Media Development. The assistant will operate under the direct supervision of the Programme Specialist (CI) and the overall guidance of the Director of the Regional Office, ensuring diligent and compliant execution of project support tasks.
Job Purpose
The Project Assistant will provide essential operational and technical support for the management and implementation of UNESCO's Communication and Information (CI) projects, specifically those concerning Press Freedom and Media Development within the Jakarta Regional Office. This involves assisting in tracking project progress, monitoring budgets against financial regulations, and contributing to evaluation processes. The role requires meticulous attention to detail in gathering, analyzing, and verifying information, as well as preparing various project-related documents, reports, and presentations. The assistant will also manage administrative aspects of project activities, including event support, travel arrangements, and document processing, ensuring smooth project execution and effective stakeholder engagement.
Responsibilities
Provide operational and technical support for programme and project management, including undertaking missions and identifying/rectifying issues. Assist in tracking, monitoring, and reporting on project activities and budgets, ensuring compliance with financial rules. Support the preparation and conduct of evaluations and evaluation reports. Research and retrieve project files and documentation, preparing draft materials, reports, presentations, and speeches. Gather, analyze, and verify information relevant to project activities. Provide administrative support for project implementation, including needs assessment for meetings, events, travel, and document production. Assist in identifying project sites and preparing participant lists and invitations. Support the initiation of contractual documents and drafting of budgetary/financial updates. Assist in identifying consultants and suppliers, preparing purchase requisitions, and processing payments. Coordinate translation, printing, and dispatch of documents, and manage requests for webcasting and transcription services. Maintain internal and external relations for programme activities, including outreach, partnerships, and special events. Assist in resource mobilization by supporting research for new projects, concept notes, and proposals. Maintain and update programme/file records and prepare project-related correspondence, ensuring accuracy and compliance with UNESCO standards. Perform additional activities as required for the success of the Unit's work.
Work Experience
A minimum of five years of relevant work experience in journalism, media development, political science, human rights, or a related field. Experience in supporting project planning, implementation, monitoring, and reporting is required. Ability to conduct basic research and collect information from various sources is essential. Experience supporting technical or managerial professionals at the national or international level is also necessary. Prior experience in project support functions and knowledge of UN systems are considered assets.
Skills
Good understanding of the media landscape in Indonesia and regionally. Knowledge of global/national frameworks for human rights, freedom of expression, and press freedom. Excellent interpersonal and communication skills with strong service orientation. Ability to work effectively in a team, under tight deadlines, and manage complex situations. Strong organizational and coordination skills, with an aptitude for working under pressure. Ability to take initiative, establish priorities, and monitor work plans. Proficiency in MS Office and database packages. Capacity to deal efficiently and tactfully with people from diverse cultural backgrounds.
