The role operates under the UNESCO South Asia Regional Office, supporting the Social and Human Sciences Sector.
Job Purpose
The Project Associate will provide comprehensive programme, administrative, financial, and coordination support for the "Kickstart Her Future - India" project and other extrabudgetary activities within the Social and Human Sciences Sector. This involves assisting in project planning, implementation, and monitoring, ensuring timely execution of activities and adherence to work plans. The role requires close liaison with partners, consultants, and service providers to manage operational and administrative matters effectively. Additionally, the incumbent will support budget administration, financial tracking, and the preparation of financial reports and documentation in line with UNESCO procedures. The position also entails supporting monitoring and evaluation efforts, stakeholder engagement, and knowledge management activities to ensure successful project delivery and impact.
Responsibilities
Assist in preparing and updating project work plans, activity schedules, and monitoring tools. Coordinate and organize project activities, meetings, workshops, and training sessions. Liaise with implementing partners, consultants, and service providers on operational and administrative matters, ensuring follow-up on agreed actions. Maintain project implementation records and monitor progress, promptly reporting any delays or issues to the supervising officer. Support the organization and documentation of Project Steering Committee meetings, including preparing background materials and meeting notes. Facilitate communication among stakeholders for research, training, and resource development activities, tracking deliverables. Assist in the preparation, translation, adaptation, and dissemination of project materials. Monitor implementation schedules and maintain project documentation for effective delivery. Track project expenditures against budgets, maintain financial monitoring tools, and prepare financial information for reviews and donor reporting. Assist in preparing contracts, purchase requisitions, and purchase orders according to UNESCO procedures. Process payments for consultants and service providers after verification. Compile financial and administrative information for project reporting and audits. Support the implementation of the project monitoring framework by collecting and organizing project data. Maintain monitoring tools, databases, and assist with assessment exercises. Compile information and draft inputs for progress reports, donor reports, and briefing notes. Support communication and information exchange among project stakeholders. Draft routine correspondence and meeting records. Facilitate logistical arrangements for engagement with government institutions and partner organizations. Support outreach and visibility activities. Conduct background research and information gathering relevant to project implementation. Compile, organize, and summarize information and data to support project activities. Assist in preparing concept notes, presentations, and knowledge products. Maintain project files, databases, and knowledge management systems. Provide programme, administrative, and logistical support to other SHS Sector projects as required.
Work Experience
A minimum of four years of relevant professional experience in project management or programme coordination is necessary. Experience in budget management, financial reporting, contract administration, procurement, and coordinating with consultants and partners is essential. Experience supporting monitoring and reporting activities, stakeholder consultations, and working within the UN system or development cooperation is desirable.
Skills
Strong organizational and coordination skills are essential, with the ability to manage multiple project activities simultaneously. The role requires the ability to work effectively under supervision, manage competing priorities, and perform well in a multicultural team environment under pressure. Knowledge of UNESCO's work, particularly in Social and Human Sciences or sport policy, is beneficial. Familiarity with relevant sport programs and Indian socio-cultural and sport policy landscapes is advantageous.
