Job Purpose
The Programme Assistant will provide essential program implementation support to the Social and Human Sciences (SCS) Unit and the UNESCO Institute for Statistics (UIS) Regional Office. This role requires timely, accurate, and proactive assistance, adhering strictly to UNESCO's HR, administrative, and financial regulations. The position involves monitoring financial and budgetary aspects of program activities, supporting procurement and contract management, and conducting basic data analysis for reporting. The assistant will also contribute to organizing outreach activities, events, and training workshops, and manage program documentation and records.
Responsibilities
The Programme Assistant is responsible for monitoring the financial and budgetary aspects of program activities, ensuring compliance with program requirements and financial regulations. This includes providing support for procurement actions and contract management. The role involves undertaking basic program-related budget and expenditure data analysis and preparing reports on program execution. The assistant will collate information and draft regular and ad hoc budgetary/financial updates. Additionally, they will support the preparation of outreach activities, special events, capacity-building workshops, and HR-related activities. This includes assessing needs for meetings, travel, document processing, and coordinating office support services. Maintaining and archiving program documentation, researching background information, and providing general office assistance such as translation and dispatch of documents are also key duties. The role requires operating independently under guidance, establishing effective working relationships, and adapting to changing priorities.
Work Experience
A minimum of five years of work experience in integrated service execution and comprehensive process support, preferably in an international environment, is required. Proven experience in providing administrative and logistical support as a project team member is essential. Experience within the UN System or international organizations is desirable.
Skills
Excellent interpersonal and communication skills are essential. Strong organizational and coordination skills, with an emphasis on quality and efficiency, are required. The ability to work under pressure, demonstrate discretion, initiative, and a service-oriented approach is crucial. Good knowledge of standard office software and the capacity to deal with diverse cultural backgrounds tactfully are necessary. Flexibility and attention to detail are also important.
