Organizational Context

The United Nations Development Programme (UNDP) in Brazil is partnering with the National Council of Justice (CNJ) on a cybersecurity initiative for the Judiciary. This project, BRA/25/025, aims to strengthen cybersecurity, digital preservation, and information integrity. The role is home-based and supports the project's monitoring, evaluation, and internal control unit.

Job Purpose

The Management Assistant will provide crucial administrative and operational support to the implementation of the cybersecurity project between UNDP and CNJ. This role is integral to ensuring the effective management of resources, efficient process control, and the accurate preparation of documentation for planning, monitoring, and evaluation activities. By ensuring quality, efficiency, and compliance with institutional guidelines, the assistant contributes directly to the project's success. The position requires close collaboration with both CNJ and UNDP teams, facilitating smooth project execution and contributing to the overall goal of enhancing cybersecurity and transparency within the Brazilian Judiciary, ultimately benefiting citizens and society through improved justice system efficiency and resource management.

Responsibilities

The Management Assistant, reporting to the Project's General Coordination, will provide comprehensive administrative and operational support for project implementation. Key duties include: **Project Implementation Support:** Assisting in the execution of projects to ensure quality, efficiency, and effectiveness; organizing schedules, meetings, and providing general support to the management team; and handling administrative routines essential for project operations. **Resource Management:** Supporting the management of human resources and facilitating efficient procurement processes and logistical services; contributing to the coordination of institutional meetings and agendas. **Selection and Monitoring:** Participating in selection processes for partnerships and contracts; supporting project monitoring and follow-up activities; and assisting with documentation and contract management. **Documentation and Control:** Supporting the management of administrative processes and deadlines; drafting and reviewing official documents; and maintaining updated project documentation and records. **Knowledge Management:** Assisting in organizing and disseminating strategic project information; preparing knowledge products like technical reports and lessons learned; and supporting information repositories and internal communications.

Work Experience

A minimum of 4 years of experience in project management support within the public sector and/or international organizations is required for candidates with a High School Diploma. Candidates with a University Degree require a minimum of 1 year of relevant experience. Desired experience includes working with the public sector (especially the Judiciary), international cooperation projects, contract/project monitoring, document management, and supporting management processes.

Skills

Proficiency in information technology and the Microsoft Office suite is required. Desired skills include experience with the public sector/Judiciary, international cooperation projects, contract and project monitoring, document organization and archiving, and supporting management processes. Fluency in Portuguese is required, with basic English proficiency being desirable.
