Job Purpose

The Project Assistant will provide crucial administrative and operational support for the implementation of projects within the UNDP's Democratic Governance Cluster in Indonesia. This role is essential for ensuring the quality and timely delivery of project outputs, in compliance with UNDP rules and regulations. The incumbent will manage administrative arrangements, coordinate procurement and logistics, facilitate communication with stakeholders, and maintain project documentation. By supporting project activities and stakeholder coordination, the Project Assistant directly contributes to strengthening democratic governance, improving public services, and advancing human rights and gender equality initiatives across the country, aligning with UNDP's strategic objectives.

Responsibilities

Support project planning and implementation by compiling data, ensuring adherence to standard operating procedures, and reviewing project documents for compliance. Assist in progress reporting by preparing work plans, supporting project board meetings, and drafting quarterly reports. Provide administrative support to the Project Management Unit, including processing administrative actions like recruitment, travel, payments, and procurement. Offer general office assistance, manage correspondence, maintain filing systems, and organize meetings. Support strategic partnerships by updating stakeholder contact lists and documenting project activities for communication and resource mobilization. Contribute to knowledge building and sharing by participating in trainings and contributing to knowledge networks, ensuring a focus on gender equality and human rights in all actions.

Work Experience

A minimum of five years of relevant project/administrative experience is required with secondary education, or two years with a bachelor's degree. Experience in administrative, financial, procurement, or asset management is highly desirable. Experience supporting environmental projects, working with government and UN/UNDP procedures, and collecting/analyzing administrative reports is also beneficial.
