Job Purpose
The Administrative Assistant will provide efficient and effective support for the administrative and financial processing of UNDP projects in Honduras. This role is crucial for the successful implementation of projects and the optimal utilization of allocated resources. The assistant will work in coordination with the existing technical and administrative team, ensuring all actions adhere strictly to UNDP procedures, with a focus on efficient budget execution and effective controls. This position contributes to the overall mission of the Inclusive Growth Unit by ensuring smooth operational and financial management, facilitating project activities, and supporting the achievement of development objectives aimed at shared prosperity and resilience.
Responsibilities
Provide administrative assistance for assigned projects, ensuring adherence to UNDP procedures and efficient budget execution. Process micro-purchases, requisitions, tax exemptions, liquidations, and disbursement requests, managing payments according to UNDP policies. Support the identification, request, receipt, and management of project materials and supplies, and assist in preparing and tracking the annual procurement plan. Manage counterpart relations for assigned initiatives. Organize logistics and administrative aspects for missions, project board meetings, and other relevant events, including drafting minutes. Assist in event setup and ensure necessary supplies for liquidations. Support the contracting and monitoring of consultants and ensure product delivery. Aid in the management of audits for assigned initiatives. Provide financial management assistance, conduct payment reconciliations, identify potential issues proactively, and support contingency measures for financial execution difficulties. Generate financial reports from UNDP systems and perform other administrative duties as required.
Work Experience
A minimum of 5 years of relevant project administration experience is required with a secondary education, or 2 years with a university degree. Experience is also needed in managing disbursement requests and liquidations, supporting procurement processes for goods and services, and administering contracts and payments for consultants and suppliers.
