Job Purpose
The Operations Associate will provide essential support to office operations and project implementation for tribal development projects within the SDG Acceleration and Finance Unit. This role is crucial for ensuring the smooth execution of administrative, HR, procurement, and financial functions. The incumbent will work under the direct supervision of the Project Analyst-Tribal Rights, contributing to the effective delivery of project objectives and stakeholder engagement. By managing operational aspects, this position directly supports UNDP's commitment to accelerating SDG achievement and empowering marginalized communities, particularly tribal populations, in India.
Responsibilities
Provide comprehensive administrative and implementation support for tribal development projects under the SDG Acceleration Unit. This includes managing end-to-end procurement processes, such as preparing RFPs/RFQs and consultant hiring documents, vendor management, and ensuring compliance with UN/UNDP regulations. Financial management involves creating e-requisitions, purchase orders, registering goods receipts in the Quantum system, tracking expenditures, and monitoring fund utilization. The role also entails supporting the preparation of work plans and progress reports. Administrative duties include organizing meetings, workshops, and events, facilitating travel arrangements, maintaining inventory records, and managing project documentation. Additionally, the Operations Associate will support knowledge building and sharing initiatives relevant to the project.
Work Experience
A minimum of 6 years of experience with secondary education, or 3 years with a bachelor's degree, in project and administration management or a related field is required. Experience in supporting project implementation functions, including procurement, financial management, HR, and logistics, is essential. Familiarity with web-based management systems and ERP platforms, particularly UNDP Quantum, is preferred.
Skills
Proficiency in MS Office Suite (Word, Excel, Access, PowerPoint) and internet communication tools. Experience in procurement, financial management, HR support, and operational logistics. Familiarity with ERP systems (e.g., UNDP Quantum). Strong administrative and organizational skills. Excellent communication abilities. Fluency in English and Hindi is required.
