Administrative Clerk (NPSA-3, 90% part-time) [Open to all applicants]
Organizational Context
The United Nations Development Programme (UNDP) project in Serbia aims to strengthen the administrative capacity of the Ministry of Construction, Transport and Infrastructure (MCTI). This role supports MCTI in planning and delivering strategic construction and infrastructure investment projects by enhancing policy planning and project development capacities.
Job Purpose
The Administrative Clerk will ensure the smooth day-to-day operations of a project focused on enhancing Serbia's construction and infrastructure sector. This role is crucial for the results-oriented, effective, and accountable implementation of project activities. The position supports consultants, manages project correspondence, organizes meetings and events, maintains documentation, and contributes to reporting and knowledge management, all under the supervision of the Project Analyst - Engineer.
Responsibilities
The Administrative Clerk is responsible for ensuring smooth daily project operations. Key duties include supporting day-to-day project implementation and consultant tasks, managing project correspondence and communication, collecting and maintaining project activity information, and assisting counterparts with administrative procedures. The role involves coordinating meetings, events, and field activities, including preparing agendas, arranging logistics, and drafting minutes. Additionally, the clerk will support reporting, monitoring, and knowledge management efforts, and ensure all project documentation is properly filed and accessible in both hard and electronic formats.
Work Experience
A minimum of three years of progressively responsible administrative support experience, preferably in an office environment, is required. Desired experience includes project activity implementation, administration, finance-admin processes, logistics, stakeholder relations, and working within UN agencies or similar international organizations.
