Organizational Context

The Multi-Partner Trust Fund Office (MPTF Office), hosted by UNDP, is a dedicated UN unit for designing and administering multi-stakeholder pooled financing instruments. It supports over 200 UN-implemented pooled funds, managing a portfolio exceeding $16 billion. The MPTF Office operates as a distinct, shared service provider, offering fund administration, data analytics, research, and knowledge management.

Job Purpose

The Fund Portfolio Associate provides essential administrative, programme, and financial support for assigned Multi-Partner Trust Funds (MPTF) and Joint Programmes (JP). This role ensures the efficient functioning of fund operations, including managing contribution agreements, setting up project budgets in the Quantum system, and coordinating reporting processes. The Associate facilitates timely financial transactions, monitors donor commitments, and supports project closure activities. By maintaining accurate fund data and responding promptly to stakeholder queries, the role contributes to the MPTF Office's mission of supporting collective outcomes and the 2030 Agenda through effective pooled financing mechanisms.

Responsibilities

Provide administrative support for assigned MDTFs/JPs, including preparing and facilitating Contribution Agreements and MOUs, setting up and updating the MPTF Office Gateway, and managing fund files. Offer programme support by responding to stakeholder queries, creating and routing proposals and budgets in Quantum, and assisting with annual consolidated reporting. Coordinate project extensions and closures, including managing unutilized funds and donor balances. Provide finance support by managing donor commitments, tracking contributions, monitoring project approvals and disbursements, and reviewing fund transfer checklists. Prepare standard financial reports for consolidated progress reports. Contribute to knowledge sharing by supporting office strategy development and organizing knowledge events.

Work Experience

A minimum of 6 years of progressively responsible experience in administrative and/or programme support services is required with secondary education, or 3 years with a university degree. Experience working with UN pooled financing mechanisms (at least 2 years) is an asset. Proficiency in computer applications (MS Word, Excel) and web-based management systems is required. Experience with ERP systems is desirable.
