Job Purpose
The Finance and Administrative Coordinator will provide essential support to the Project Management Unit (PMU) and the UNDP Project Team for a project focused on accelerating the transition to a circular economy in India's electrical and electronic sector. This role is crucial for ensuring effective financial management, administrative coordination, and accurate reporting of all project activities, adhering strictly to UNDP rules and procedures. The incumbent will facilitate operational, administrative, and financial commitments, coordinate with key partners like MeitY and C-MET, and monitor project expenditures and indicators to guarantee timely and compliant project implementation. This position contributes directly to the successful execution of the project's objectives within the Action for Climate and Environment (ACE) Unit.
Responsibilities
The Finance and Administrative Coordinator is responsible for comprehensive financial management and budget support, including utilizing UNDP ERP systems for budget inputs, tracking expenditures, and processing payments. This involves monitoring project spending against approved work plans and budgets, maintaining financial records, and preparing financial reports, while also identifying and flagging operational and financial challenges. The role also encompasses procurement and contract management support, facilitating procurement processes, managing contracts, and tracking vendor deliverables and payment milestones. Furthermore, the coordinator will provide administrative coordination and operations support, liaising with UNDP operations units, and offering logistical assistance for workshops, meetings, and travel arrangements. A key responsibility includes supporting monitoring, reporting, and audit processes, tracking project progress against indicators, and assisting with audits and quality assurance. The position also involves supporting knowledge building, sharing, and capacity development activities relevant to the project.
Work Experience
A minimum of 7 years of relevant work experience is required with a secondary education, or 4 years of relevant experience with a university degree. Experience in finance, administration, accounting, or operational support, including applying financial rules, regulations, accounting procedures, and audit requirements, is essential. Experience in providing logistical, administrative, and travel management support for project or programme implementation is also necessary.
Skills
Proficiency in financial planning, budget monitoring, expenditure tracking, and ensuring compliance with project budgets and financial procedures. Experience in financial and administrative management, including contract and vendor management, invoice processing, and financial reporting. Demonstrated ability to support procurement processes. Experience in coordinating administrative and financial support for multiple projects. Fluency in English and Hindi is required. Experience with UNDP ERP systems is desirable.
