Organizational Context
The UNDP's Cooperation Program AMEXCID-PNUD (PROCAP) has been active since 2013, supporting Mexico's International Cooperation for Development (ICD) efforts aligned with SDG 17. In its third phase (2019-2025), PROCAP aims to strengthen AMEXCID's institutional capacity, enhance its ICD policy, and foster strategic alliances. This role supports the operational structure of AMEXCID, contributing to the implementation of development projects.
Job Purpose
The Administrative and Financial Operations Assistant will support the operational structure of AMEXCID, contributing to the effective implementation of international cooperation projects. This role is crucial for managing financial resources, preparing financial and budgetary reports, and assisting in the procurement of goods and services. The position ensures compliance with agency regulations and supports negotiations with external providers. By facilitating smooth project execution and providing administrative support for high-level meetings, the assistant plays a key part in consolidating AMEXCID's institutional capacity and strengthening South-South Cooperation in Mexico, aligning with national development priorities and the 2030 Agenda.
Responsibilities
Key responsibilities include supporting the administration of financial resources for international cooperation projects in accordance with agency regulations. This involves preparing financial and budgetary reports for these projects. The role also entails assisting in the procurement processes for necessary goods and services for project implementation. Additionally, the assistant will aid in negotiations with external suppliers to ensure contractual terms are met. A further duty is to participate in committees for receiving high-level meeting guests, ensuring professional and courteous service. The position supports the operational structure of AMEXCID, contributing to the coordination and supervision of administrative programs and projects.
Work Experience
Candidates with a high school diploma require 4 years of experience in public or private administration or financial areas. Those with a completed university degree (Licenciatura) need 1 year of relevant experience. Experience in Mexican public administration (federal, state, or municipal) and in preparing budget or financial reports is required.
Skills
Proficiency in Microsoft Office Suite. Experience in Mexican public administration. Experience preparing budget or financial reports. Experience with quotation requests, supplier negotiations, service contracting, and deliverable verification. Experience in generating and tracking administrative activity or project execution timelines. Ability to interact with diverse stakeholders during meetings and work events.
