Organizational Context
The United Nations Development Programme (UNDP) in Honduras supports national development efforts through technical assistance, policy advice, program management, and strategic partnerships for Sustainable Development Goals. The Operations Unit provides administrative, financial, and logistical support to the Country Office, programs, and projects, ensuring efficient and compliant services. This role supports the Administration area.
Job Purpose
The Administrative Assistant provides essential support to the Operations Unit, ensuring high standards of quality, accuracy, timeliness, and confidentiality in administrative tasks. The role focuses on efficient client service for internal and external stakeholders, adhering to organizational policies and procedures. Key contributions include managing purchase order exemptions, processing expense reports, tracking asset transfers, maintaining digital records, and handling official correspondence with government entities. The position also supports travel arrangements, procurement processes, and knowledge sharing within the Country Office to enhance administrative efficiency and continuous improvement.
Responsibilities
Provide timely, efficient, and client-oriented administrative support to the Country Office, ensuring quality, accuracy, confidentiality, and compliance with institutional procedures. Register, coordinate, and monitor purchase order exemption processes with relevant authorities, providing updates and promoting transparency. Prepare and submit expense liquidation reports to the Tax Administration Service (SAR), ensuring completeness and timeliness. Process and track asset transfers for PNUD-acquired assets, including vehicles, and for other agencies as needed, maintaining supporting documentation. Maintain an organized and accessible digital archive of dispensations, permits, transfers, exemptions, and other administrative processes. Manage the receipt and dispatch of official correspondence with ministries, government institutions, and other entities, including diplomatic matters, visas, and permits. Support effective administrative and financial control by ensuring compliance with UN/UNDP regulations and policies. Provide travel information and process travel authorizations and claims, ensuring compliance with UN travel standards. Prepare and follow up on goods exemption processes for the Country Office, projects, and other agencies. Assist with other administrative activities, including micro-purchases for operational needs. Contribute to knowledge management by supporting training and orientation on administrative matters and sharing best practices.
Work Experience
A minimum of 4 years of administrative experience at the national level is required with a high school diploma. Alternatively, 1 year of relevant administrative experience is required with a Bachelor's degree.
