Organizational Context
The United Nations Development Programme (UNDP) in Ukraine supports poverty eradication, inequality reduction, and resilience building, contributing to Sustainable Development Goals. Operating through hubs nationwide, UNDP assists regional and local authorities and civil society in emergency response and crisis management. The Area-Based Recovery (ABR) Framework focuses on reconstruction, returns, resilience, and reforms to foster community recovery and a development pathway.
Job Purpose
The Project Associate plays a crucial role in supporting the effective implementation of operational, administrative, procurement, and financial processes for Area-Based Recovery (ABR) Projects in Ukraine. This position ensures full compliance with UNDP programming, financial, procurement, and administrative rules, regulations, policies, and strategies, while maintaining effective internal control systems. The role contributes to the overall success of ABR initiatives by providing essential administrative and logistical support, facilitating smooth project operations, and ensuring adherence to established procedures. The incumbent's work directly impacts the efficiency and effectiveness of recovery efforts in communities most affected by the conflict, supporting UNDP's mission to empower society and advance recovery.
Responsibilities
Provide comprehensive project management assistance, focusing on administrative, operational, and logistical support. This includes proactively contributing to daily project implementation, ensuring alignment with expected results and work plans, and maintaining strict adherence to UNDP's Programme and Operations Policies and Procedures (POPP). Responsibilities also encompass preparing background materials, drafting meeting minutes, and performing translations between Ukrainian and English. Efficiently manage travel arrangements for the team, organize meetings and events, and maintain contact lists for government and non-government partners. Support financial, procurement, and human resources processes by learning the UNDP Quantum Platform, assisting with financial resource management, procurement, and logistical services. Contribute to the elaboration of project work and procurement plans, and support the timely submission of various project reports. Assist in recruitment processes and maintain staff records. Facilitate knowledge building by adhering to project timelines, supporting event organization, and synthesizing lessons learned and best practices.
Work Experience
A minimum of seven years of relevant experience in administration or project management assistance is required with a secondary education. Alternatively, four years of relevant experience is required with a Bachelor's degree. Experience within UN/UNDP or other international/development organizations is desired. Experience in event organization, financial reporting for donors, and procurement of equipment/supplies/services is considered an asset.
Skills
Proficiency in computer and office software packages. Core competencies include achieving results, innovative thinking, continuous learning, adaptability, determination, engagement, and fostering diversity and inclusion. Technical competencies include effective decision-making, project management, communication (written and verbal), event management, job design, and financial analysis.
