Organizational Context
The United Nations Development Programme (UNDP) Brazil's Governance and Development Justice Cluster seeks two Project Assistants to support its portfolio. This role operates within the National Office in Brasília, contributing to projects, particularly those in partnership with the Judiciary, and driving the office's priority areas.
Job Purpose
The Project Assistant will provide crucial support to the implementation of projects within the Governance and Development Justice Cluster. This role is essential for ensuring the quality of project outcomes and contributing to the overall efficiency and effectiveness of UNDP's actions in Brazil. The incumbent will assist with activity execution, technical and financial monitoring, developing monitoring strategies, and liaising with partners, all in close coordination with the Project Management Unit (UGP). This position is key to the successful delivery of projects, especially those involving direct implementation and partnerships with the Judiciary.
Responsibilities
Provide administrative and operational support for project implementation, including financial resource management, HR processes, procurement, and logistics. Develop Terms of Reference, participate in consultant selection committees, and organize travel and logistical support for workshops and meetings. Maintain updated project documentation and records, schedule project-related meetings, and prepare agendas and minutes. Support project planning and monitoring, ensuring adherence to deadlines and guidelines. Assist partners and donors in efficient administrative and operational activities. Aid in developing tools for monitoring administrative and financial project activities. Process transactions in the Quantum system and support budget and financial execution monitoring. Extract, consolidate, and analyze financial reports and budget execution data. Prepare periodic financial reviews in compliance with UNDP and donor regulations. Support the preparation of progress reports, donor accountability, project reviews, financial reports, and audits. Assist in organizing project review meetings and tripartite meetings, tracking recommendations and audits. Contribute to systematizing lessons learned and best practices. Support the preparation of Agreements and Individual Contracts, and participate in selection processes for agreements and contracts. Assist with HR processes, including recruitment and contract extensions.
Work Experience
A minimum of 4 years of experience is required with a High School Diploma, or 1 year with a University Degree. Experience should be in administration, internal governance, contract administration, HR processes, operational compliance, process improvement, or project management support in diverse areas, public/private sectors, consulting, international cooperation, public policy, or information management.
Skills
Proficiency in MS Office. Fluency in Portuguese is required. Basic English is desirable.
