The United Nations Development Programme (UNDP) in Uruguay, within the Economics, Sustainable Finance, and Growth department, seeks a Program Assistant. This role provides programmatic, administrative, and financial support for the effective implementation of the Country Programme. Job Purpose
The Program Assistant provides essential programmatic, administrative, and financial support to ensure the effective implementation of the UNDP Country Programme in Uruguay. This role is crucial for maintaining the quality, accuracy, and timeliness of project processes and information, adhering strictly to UNDP policies and procedures. The assistant will support diverse projects and initiatives, working collaboratively with program, operations, and project staff, as well as national counterparts and other UNDP units. The primary contribution is to facilitate smooth project execution, coordinate operational processes, and contribute to the timely achievement of project results, ensuring all activities align with UNDP's standards and objectives.
Responsibilities
Provide operational, administrative, and financial support for project lifecycles, including initiation, work plans, budgets, revisions, extensions, and closures. Maintain up-to-date project information in corporate systems, ensuring consistency across documents, budgets, and funding sources. Prepare documentation for procurement, contracting, travel, payments, and agreements, tracking them to completion. Conduct budget and fund availability checks, identifying and coordinating corrective actions for discrepancies. Maintain organized and auditable physical and electronic project files. Support implementation monitoring and corporate compliance, tracking milestones, deliverables, risks, and resource utilization. Compile and present administrative, financial, and programmatic information for reports and decision-making. Prepare documentation for audits and reviews, following up on agreed actions. Support compliance with HACT, risk management, safeguards, and financial controls. Provide administrative support to the Program Unit and external clients, coordinating meetings, missions, and workshops. Respond to routine inquiries and guide project teams and counterparts on procedures. Facilitate daily coordination between Program and Operations units. Draft communications, notes, and presentations related to project implementation. Contribute to knowledge management by documenting best practices and lessons learned.
Work Experience
Minimum of 5 years of relevant experience with a high school diploma, or 2 years of experience with a university degree. Experience should be in administrative, programmatic, financial, or project management functions. Desired experience includes working with international organizations, the public sector, or development projects, with knowledge of UNDP or UN system procedures being an advantage.
Skills
Proficiency in office software (word processing, spreadsheets). Strong organizational skills, attention to detail, ability to manage multiple tasks, and effective communication. Experience in project administrative and financial follow-up, documentation control, budget management, record-keeping, and process coordination. Familiarity with corporate systems and databases is beneficial. Fluency in Spanish is required; English proficiency is an advantage.
