Job Purpose
The Procurement Clerk provides essential support to the UNDP Mexico Country Office's procurement services, ensuring high quality and accuracy. The role focuses on supporting operational strategies, procurement processes for various projects, and sourcing strategies. Key contributions include ensuring compliance with UN and UNDP regulations, assisting with procurement documentation, tracking purchases, managing contracts, and providing administrative and logistical support for procurement activities. The position aims to promote a client-oriented, results-driven approach within the Procurement Unit.
Responsibilities
Support the implementation of operational strategies by contributing to work plans and ensuring full compliance with UN/UNDP procurement rules and policies. Assist in procurement processes for UNDP and UN System projects, including preparing tender documents, receiving quotations, and advising on procurement methods. Prioritize urgent acquisition requests and track all purchases from initiation to payment, ensuring requisitioner requirements are met. Prepare routine correspondence, memos, and reports related to procurement. Extract, input, copy, and archive data from various sources, and gather information for cost recovery processes. Administer contracts, including drafting, modifications, settlements, and payment tracking. Share knowledge by supporting procurement training and technical assistance. Support bid evaluation processes and present cases to evaluation committees. Maintain an updated vendor list and conduct market research. Provide administrative and logistical support for contracting processes and assist with organizing procurement-related events. Translate simple correspondence between English and Spanish as needed.
Work Experience
A minimum of 4 years of relevant work experience supporting procurement tasks or similar functions is required. Three years of proven experience with computers and office software (Word, Excel) and one year of experience with data management systems are also necessary.
