Project Associate
Organizational Context
The United Nations Development Programme (UNDP) in The Gambia supports national development frameworks and the Sustainable Development Goals. The BRIDGE project, funded by the African Development Bank, aims to strengthen governance and equality by enhancing justice systems, promoting women's leadership, and supporting civil society. This Project Associate role supports the BRIDGE project's administrative and financial operations, working under the Project Manager.
Job Purpose
The Project Associate provides essential back-office and administrative support to the UNDP's BRIDGE project in The Gambia. This role is crucial for ensuring the project's timely and effective execution by managing financial and administrative requirements, facilitating project activities, and supporting monitoring and evaluation efforts. The position contributes to the project's overall success in strengthening institutional and legislative capacity for gender-responsive justice systems, promoting women's leadership, and enhancing accountability and inclusive development. By ensuring smooth logistical operations, accurate financial tracking, and efficient administrative processes, the Project Associate directly supports the BRIDGE project's objectives and UNDP's mission in The Gambia.
Responsibilities
Provide comprehensive financial and administrative support for the BRIDGE project, including managing funding, accounting, and payment schedules. Assist in the timely and appropriate execution of project activities, including planning meetings, consultations, and travel arrangements for national and international participants. Document meeting records, decisions, and actions. Support the Monitoring and Evaluation of the project at the national level. Oversee project budget management, procurement processes, and accounting procedures in compliance with UNDP rules. Ensure timely disbursement of financial resources to implementing partners and maintain expenditure records. Facilitate financial reporting and compliance with UNDP country office requirements. Handle all logistical matters for workshops and meetings, and manage procurement requisitions and purchase orders. Maintain an inventory of project assets and support communication and knowledge-sharing activities.
Work Experience
A minimum of 6 years of progressively responsible administrative or project experience is required with a high school diploma. Alternatively, 3 years of relevant experience is required with a bachelor's degree. Experience with UNDP/UN policies and procedures, particularly in project development and implementation, is highly desirable. Experience in preparing financial reports, meeting minutes, and activity reports is also advantageous.
Skills
Proficiency in MS Office software. Strong administrative and logistical support capabilities. Experience in event management, travel policy interpretation, and procurement procedures. Ability in financial planning and budgeting. Project management skills. Excellent communication skills. Fluency in English is required. Knowledge of local Gambian languages (Mandinka, Fula, Wolof) is desired.
