Organizational Context
The United Nations Development Programme (UNDP) has been active in India since 1951, focusing on human development, poverty eradication, and sustainable development aligned with national priorities and the SDGs. The UN Resident Coordinator's Office (UNRCO) supports the UN Secretary-General's representative in India, coordinating UN Country Team activities and engagement with the government. A UN India SDG Country Fund has been established to accelerate SDG implementation, with a lean Secretariat housed within UNRCO to manage its administrative functions.
Job Purpose
The Administrative Associate will provide essential administrative and operational support to the UN India SDG Country Fund Secretariat, ensuring the efficient day-to-day functioning of the office. This role is crucial for managing the administrative and operational requirements of the Fund, including documentation, payments, travel arrangements, vendor setup, and assisting with budget preparation and audit information. The position directly supports the Fund's objective to mobilize financing and facilitate strategic interventions for accelerating SDG implementation in India, contributing to the UN's mandate and the Government of India's development vision.
Responsibilities
Provide comprehensive administrative, operational, and logistical support to the UN India SDG Country Fund Secretariat. Monitor deadlines, track action points, and facilitate the timely submission of reports and documentation. Research, compile, and analyze information to prepare administrative reports and summaries. Support budget administration, financial monitoring, and preparation of audit documentation. Process vendor registrations and master data in ERP systems, ensuring accuracy and compliance. Assist in procurement processes, including preparing solicitation documents and coordinating bid evaluations. Review and process travel requests, authorizations, and claims. Coordinate travel and logistical arrangements for Fund activities. Liaise with internal and external stakeholders to ensure smooth coordination and timely implementation of Fund-related activities.
Work Experience
A minimum of 6 years of relevant experience in administration or programme support services is required with secondary education. Alternatively, 3 years of relevant experience is required with a Bachelor's degree. Experience with UN agencies, international organizations, or government institutions is an asset.
Skills
Proficiency in computers and office software (MS Word, Excel), database packages, and web-based management systems like ERP. Experience in vendor management and procurement processes. Experience supporting budget monitoring, financial reporting, audit documentation, or compliance activities. Experience arranging official travel and processing related claims. Fluency in Hindi and English is required.
