The AMEXCID-UNDP Cooperation Program (PROCAP), active since 2013, supports the Mexican System of International Development Cooperation. Job Purpose
The purpose of the Administrative Assistant role is to provide essential operational and technical support to AMEXCID, contributing significantly to its institutional consolidation and the strengthening of South-South Cooperation in Mexico. This involves facilitating the modernization of internal databases, ensuring the secure transition and cataloging of physical archives to digital repositories, and efficiently managing information flow by compiling reports from various departments through institutional systems. The role also serves as a primary point for receiving, filtering, and channeling diverse information requests that the Agency receives, ensuring timely and accurate dissemination. Furthermore, it offers crucial assistance in the configuration of computer equipment and the resolution of software incidents, thereby enhancing the agency's overall operational efficiency, data integrity, and its capacity to effectively implement the Integral Development Plan and support Mexico's international cooperation efforts.
Responsibilities
The Administrative Assistant will be responsible for supporting the modernization processes of internal databases, ensuring data integrity and accessibility for various projects. A key duty involves participating actively in the transition, cataloging, and secure storage of physical archives into digital repositories, contributing to efficient and organized information management. The role also entails compiling and consolidating information reported by various directorates within the Agency, utilizing established institutional systems and communication channels to ensure comprehensive data collection for reporting and analysis. Furthermore, the assistant will manage incoming information requests, which includes receiving, filtering, and effectively channeling diverse inquiries to the appropriate departments for timely resolution. Crucially, the position provides auxiliary support in the configuration of computer equipment and the prompt attention to software incidents, maintaining operational continuity and user productivity. This role is integral to the operational structure of AMEXCID's Executive Directorate, supporting the authorization, coordination, and supervision of programs and projects across scientific, educational, technological, sporting, economic, business, citizenship, cultural, humanitarian assistance, and international aid cooperation, in alignment with national development plans and international cooperation laws.
Work Experience
Candidates with a high school diploma must possess at least one year of experience in administrative roles. For applicants holding a Bachelor's degree in Administration, Computer Systems Engineering, or a related field, prior administrative experience is not a mandatory requirement.
Skills
Required skills include proficiency in PC and Microsoft Office suite, database management, and internet usage. Excellent written and oral communication abilities are essential, along with basic knowledge of IT technical support.
