Job Purpose
The Administrative and Finance Assistant provides crucial administrative and financial support to a UNDP project focused on Trinidad and Tobago's transition to a net-zero, nature-positive economy. This role ensures the smooth execution of project activities by managing procurement, tracking expenses, maintaining financial records, and supporting project management functions. The assistant will contribute to the project's overall success by ensuring financial compliance, timely disbursement of funds, and efficient logistical support for project events and operations. This position is integral to the project's objective of reforming policy, mobilizing finance, and showcasing low-carbon technologies, ultimately supporting the country's shift away from oil and gas dependency.
Responsibilities
Provide comprehensive administrative and financial support for project implementation, including managing procurement processes, tracking activities and expenses, and maintaining accurate financial records. Ensure compliance with project documents and financial regulations, validate financial forms, and provide necessary financial information for decision-making and audits. Support project management by assisting with financial and administrative requirements, ensuring timely execution, managing payment schedules, and facilitating project-related activities such as meetings and consultations. Handle all travel arrangements for national and international participants. Offer administrative and logistical support for workshops and meetings, maintain procurement plans, and manage asset inventories. Contribute to knowledge building by supporting training activities and participating in knowledge networks.
Work Experience
A minimum of 5 years of experience in administrative support and financial management is required with a secondary education. With a bachelor's degree, a minimum of 2 years of relevant experience is needed. Experience within a project management setting or in environmental, climate, or sustainability projects is preferred. Experience with UNDP/UN policies, procurement, and logistics is desirable.
