Organizational Context
The AMEXCID-UNDP Cooperation Program (PROCAP) supports AMEXCID in strengthening Mexico's International Development Cooperation System, aligning with SDG 17 and the 2030 Agenda. It aims to consolidate AMEXCID institutionally, enhance its CID policy, and foster strategic alliances for development. The program supports AMEXCID's six action areas and new structure, focusing on South-South Cooperation. This role is situated within AMEXCID's Executive Directorate, contributing to the effective implementation of cooperation projects.
Job Purpose
The Administrative Associate's primary purpose is to provide essential administrative support to AMEXCID's Executive Directorate, ensuring the efficient and correct implementation of international cooperation projects. This role contributes significantly to AMEXCID's institutional consolidation and the strengthening of South-South Cooperation in Mexico, aligning with the broader objectives of the AMEXCID-UNDP Cooperation Program (PROCAP). Key contributions include supporting the development of institutional capacities for CID management, strengthening Mexico's CID policy in both reception and offer modalities, promoting strategic alliances for development, and aiding in the implementation of the Integral Development Plan. The associate ensures robust information management, accurate financial documentation, and professional official correspondence, thereby facilitating the smooth execution of programs and projects coordinated by the Executive Directorate and supporting Mexico's role as a dual cooperation partner.
Responsibilities
The Administrative Associate will provide comprehensive administrative support to AMEXCID's Executive Directorate. This includes assisting with the correct implementation of cooperation projects and ensuring efficient program execution. Key duties involve supporting the collection, systematization, and updating of critical information, data, and databases related to Executive Directorate programs. The role requires collaboration in integrating progress reports and verifying the achievement of programmed goals. Furthermore, the associate will assist in the meticulous review, organization, and reconciliation of supporting documentation for financial resource execution, alongside managing the scheduling of assigned budgets. A significant responsibility is the preparation, review, and submission of proposals for official correspondence, including official letters and circulars, for validation and signature by the Agency's high authorities.
Work Experience
For candidates with a high school certificate, a minimum of six years of experience in public administration and administrative management is required. For those with a Bachelor's degree, a minimum of three years of experience in the aforementioned areas is necessary.
Skills
Required skills include proficiency in office software (Word, Excel), experience within the Mexican Public Administration (federal, state, or municipal levels), and excellent official correspondence drafting abilities. Desirable skills encompass experience in operational management and project monitoring, knowledge of administrative processes, and prior experience with international organizations or international cooperation projects. Essential competencies include results achievement, innovative thinking, continuous learning, agile adaptation, determination, engagement and partnership, and facilitating diversity and inclusion.
