Job Purpose
The Programme Coordination Associate provides essential administrative and logistical support to the Sawasya III Joint Programme team, ensuring efficient operations. This role is crucial for the effective functioning of project activities, including managing documentation, supporting data entry for monitoring and evaluation, coordinating meetings and events, and facilitating logistical arrangements for travel and workshops. The associate also assists in preparing project proposals and reports, and supports the follow-up on human resource and procurement-related issues. By ensuring smooth administrative processes and contributing to knowledge management, the role directly supports the programme's objectives of strengthening rule of law institutions and improving access to justice and security services for Palestinians.
Responsibilities
Provide comprehensive administrative and logistical support for the Sawasya III programme, including maintaining filing systems, data entry for monitoring and evaluation, and distributing project reports. Coordinate meetings, events, and field visits, and manage travel arrangements and expense claims. Support the preparation of project proposals and assist technical specialists with HR-related follow-ups. Contribute to programme strategy formulation by providing background information for Country Programme Documents (CPDs). Offer day-to-day guidance to implementing partners on project execution and financial resource tracking. Assist in managing digital solutions and data across the programme lifecycle, monitoring performance indicators, and preparing for audits. Facilitate knowledge building and sharing by organizing training sessions and compiling lessons learned and best practices.
Work Experience
A minimum of 3-6 years of progressively responsible administrative or programme experience at the national or international level is required. Experience with the UN or international organizations, local organizations, and knowledge of monitoring and evaluation tools are considered assets. Experience in education or social development projects is also desirable.
Skills
Proficiency in computer and office software packages (MS Word, Excel), advanced spreadsheet and database skills, and experience with web-based management systems. Ability to review and edit documents, produce meeting reports, and manage communications effectively. Strong organizational and logistical skills. Knowledge of monitoring and evaluation frameworks and risk management is beneficial.
