Job Purpose
The National Project Assistant provides crucial support to UNDP's project management activities in Saudi Arabia, contributing to the achievement of the Sustainable Development Goals. This role involves assisting with operational and administrative processes, ensuring the timely execution of project work plans, and monitoring progress throughout the project lifecycle. The position facilitates effective coordination among programme partners, supports the organization of project activities, and ensures efficient administrative services for meetings and workshops. By managing project documentation and supporting implementation and procurement, the assistant plays a key role in the successful delivery of UNDP's technical assistance and reform initiatives within the Kingdom, in close collaboration with the UNDP team and senior management.
Responsibilities
The National Project Assistant is responsible for organizing and managing operational and administrative processes for project needs. This includes providing daily support for work plan execution, monitoring project progress, and coordinating information exchange among partners. The role involves supporting the organization of project activities, providing administrative services for meetings and workshops, and managing travel arrangements efficiently. Key duties include maintaining asset records, initiating correspondence, drafting official documents, and preparing meeting minutes, including translation between Arabic and English. The assistant will also support project implementation and procurement activities, manage project documentation, and assist in preparing project work plans through data collection and analysis. Contributions to progress reports, documentation of lessons learned, and distribution of project products are also expected, alongside any other duties assigned by UNDP.
Work Experience
A minimum of 5 years of progressively responsible administrative or project experience is required with a high school diploma. Alternatively, 2 years of relevant experience is required with a bachelor's degree. Experience in research, analytical, and reporting activities within projects is also necessary.
Skills
Excellent computer literacy (MS Office, Windows XP, Internet); strong communication, report writing, and analytical skills; experience working with governmental entities in Saudi Arabia; knowledge of project cycle management; integrity, professionalism, and adaptability; ability to work with data, digital literacy, customer focus, and event management support.
