Job Purpose
The Project Associate (Finance and Admin) at NPSA-6 level serves to provide essential operational, financial, and administrative support for UNDP Bangladesh's diverse development projects. The primary purpose is to ensure the smooth, compliant, and efficient management of project resources, adhering strictly to UNDP's financial rules and regulations, donor requirements, and Government of Bangladesh (GoB) guidelines. This role is critical for the effective implementation of programs spanning democratic governance, climate change, poverty reduction, and more. By maintaining robust financial controls, facilitating administrative processes, and ensuring compliance, the Associate directly contributes to the successful delivery of UNDP's strategic objectives and developmental aspirations in Bangladesh, fostering equitable and sustainable progress. This position is part of a roster, indicating its broad applicability across various project modalities and complexities.
Responsibilities
The Finance & Admin Associate is responsible for four key functions. 1. Financial Management and Reporting: This includes setting up and maintaining financial control systems, processing transactions, monitoring donor funds and expenditures against Annual Work Plans (AWP), preparing monthly/quarterly/annual financial reports (including FACE forms), reviewing payment requests, supporting budget preparation, processing ERP/Quantum transactions, preparing vouchers, assisting with audits, monitoring financial dashboards, and ensuring project financial closure. 2. Administrative, Logistics and Asset Management: Duties involve providing daily administrative and logistical support for project activities and events, maintaining systematic record-keeping, monitoring project equipment and assets, ensuring compliance with travel policies, assisting with HR and procurement processes, drafting administrative documents, and supporting project closure tasks. 3. Quality Assurance and Compliance: This function entails verifying implementing partner activities and fund utilization, supporting spot checks and financial reviews, assisting in progress and financial report preparation, contributing to SOP development, maintaining organized documentation, and ensuring compliance with UNDP's anti-fraud and safeguarding standards. 4. Knowledge Building and Sharing: Responsibilities include participating in and providing trainings for project staff on financial and administrative procedures, documenting and sharing best practices, and supporting the development of knowledge products.
Work Experience
A minimum of 6 years of relevant experience in administration and financial management is required with secondary education. This requirement is reduced to 3 years if the candidate holds a Bachelor’s degree. Experience should be gained within development projects, government, or international organizations.
