Job Purpose
The Small Grants Programme Assistant supports the day-to-day implementation of the GEF Small Grants Programme (SGP) in The Gambia. This role assists the National Coordinator in project screening, proposal evaluation, and advising potential grantees. The position involves providing guidance to ongoing projects, managing project documentation, and supporting financial and administrative processes. The assistant also contributes to monitoring, evaluation, and reporting, ensuring SGP objectives are met and fostering knowledge management and communication efforts to enhance programme visibility and impact.
Responsibilities
Support day-to-day programme and project implementation, ensuring alignment with expected results and work plans. Assist in prescreening project concepts and evaluating financial proposals. Help develop and revise grant application forms and programme documents. Advise potential grantees on preparation processes and guidelines. Provide ongoing support and guidance to project grantees. Assist with project implementation, grievance redress, monitoring, and evaluation, including field visits. Organize and prepare minutes for National Steering Committee meetings and other SGP events. Maintain professional relationships with stakeholders. Assist in reporting to CPMT and UNDP CO, and prepare monitoring surveys. Support M&E requirements like PIR, MTR, and TE. Draft operational documents and respond to queries. Maintain and update SGP project and stakeholder databases. Provide guidance and control accuracy of project financial reports. Process payment requests and manage petty cash. Prepare and maintain grant disbursement tables and track the Country Operating Budget. Draft annual budget proposals and provide other financial reports as required. Procure office supplies and manage office work. Establish and maintain filing systems for administrative, financial, and project documents. Support the organization of SGP events and provide logistical support for missions and meetings. Assist with project audits. Support knowledge management, networking, and visibility efforts. Maintain and update SGP website and database information.
Work Experience
Minimum five years of progressively responsible administrative or programme experience with secondary education, or two years with a bachelor's degree. Demonstrated experience in reviewing and editing documents and producing meeting reports is required. Experience with computer software packages, spreadsheet, and database management is an asset. Experience in programme financial management, event management, and logistics is advantageous.
