Project Associate
Organizational Context
The United Nations Development Programme (UNDP) operates in approximately 170 countries, assisting governments in achieving development goals. The UNDP Multi-Country Office (MCO) for Barbados and the Eastern Caribbean serves ten countries, including Barbados. This role supports global GEF-funded projects focused on biodiversity frameworks, NBSAP updates, and biodiversity finance plans, managed under the Nature, Climate, and Energy Cluster.
Job Purpose
The Project Associate will provide essential administrative, financial, and coordination support for the implementation of global GEF-funded biodiversity projects managed by the UNDP Multi-Country Office in Barbados and the Eastern Caribbean. This role is crucial for ensuring the effective planning, execution, monitoring, and reporting of these projects, which aim to support countries in meeting biodiversity targets, updating national strategies, and developing finance plans. The associate will work closely with the Project Coordinator and other stakeholders to ensure project activities align with UNDP's operational policies and procedures, contributing to sustainable development gains and positive environmental and social impacts across seven Eastern Caribbean states.
Responsibilities
Provide comprehensive administrative and logistical support for project delivery, including organizing meetings, coordinating procurement, maintaining records, and supporting recruitment and contracting. Assist in project planning by compiling data for work plans and budgets, and ensure compliance with UNDP's Project Operational Policies and Procedures (POPP) and Standard Operating Procedures (SOP). Manage project finances by engaging with ERP systems for budget entry, transaction processing, and expenditure tracking, including reviewing and reconciling project expenditures. Support effective monitoring, evaluation, and reporting by assisting with the project monitoring system, collecting and analyzing data for progress reports and audits, and helping to manage risks. Contribute to knowledge building and sharing by participating in training, organizing briefings, and disseminating project knowledge and best practices.
Work Experience
A minimum of 6 years of relevant experience in administrative, operational, or financial support is required with a secondary education. This requirement is reduced to 3 years if the candidate holds a Bachelor's degree. Experience in project support, budget management, and working within the UN system or similar organizations is desirable.
Skills
Proficiency in standard word processing, presentation, and spreadsheet software. Experience in operations management, customer/client management, budget management, financial planning and budgeting, financial reporting and analysis, document and records management, and inventory management are desirable. Fluency in English is required.
