Job Purpose
The Executive Associate to the Resident Representative (RR) provides crucial operational and strategic support to the RR's office, ensuring its smooth and efficient functioning. The primary objective is to facilitate activity coordination, manage communications, and track commitments, upholding high-quality administrative practices to support UNDP's strategic goals. This role requires maintaining confidentiality and security of sensitive information, fostering strong professional relationships, and proactively anticipating the RR's needs to optimize operational efficiency. The Executive Associate contributes to a collaborative environment and supports knowledge development within the team, enabling the RR to focus on strategic priorities and maximize UNDP's impact.
Responsibilities
The Executive Associate ensures the effective and efficient operation of the Resident Representative's (RR) office. This includes managing the RR's calendar, handling high-level visitor interactions, organizing appointments and meetings, and taking minutes as needed. The role involves preparing high-quality briefing documents and correspondence for the RR's signature, with necessary follow-up. Coordination of high-level visits and support for regular meeting management mechanisms are also key responsibilities. Additionally, the Executive Associate provides effective communication support by liaising with key partners, counterparts, and UN agency support functions, and by coordinating information flow within the office and tracking circulating files. The role also facilitates knowledge building and management within the office by compiling and preparing presentation documents, speeches, and materials for meetings and missions.
Work Experience
A minimum of 6 years of relevant professional experience in administration, office management, or a related field is required with a secondary education diploma. This requirement is reduced to 3 years of relevant experience with a Bachelor's degree.
Skills
Proficiency in Microsoft Office Suite. Excellent written and verbal communication skills in English and French. Experience in UNDP administrative processes and in international organizations are desirable. Key competencies include achieving results, innovative thinking, continuous learning, adaptability, determination, engagement, collaboration, and fostering diversity and inclusion.
