Job Purpose
The Portfolio Associate (Admin) provides essential administrative, operational, financial, and logistical support to the Circular Economy Portfolio and the PIMS 9850 Biodiversity Finance Plans Bangladesh Project. This role ensures the smooth, compliant, and efficient management of project resources in accordance with UNDP's financial rules and regulations. By supporting daily operations, budget preparation, procurement processes, and travel arrangements, the Associate contributes directly to the effective implementation of projects aimed at achieving sustainable development goals and fostering a green transition in Bangladesh. The position is integral to the operational success of these key UNDP initiatives.
Responsibilities
Provide day-to-day general administration and operational management, ensuring compliance with UNDP rules and regulations. Support the implementation of operational and financial strategies and adapt processes for optimal results. Assist in preparing project Annual Work Plans and Budgets, including draft budget revisions and cost-sharing reports. Manage payments to suppliers and process claims for staff and service providers, ensuring timely settlement and proper documentation. Oversee procurement requests, initiate procedures, and support the procurement process by coordinating with UNDP Operations. Create and manage e-requisitions in Quantum and maintain procurement case files. Provide administrative and logistical support for meetings, workshops, and trainings, including travel arrangements, claims, and documentation. Manage document and filing control procedures for project reports and financial documents. Facilitate knowledge building by participating in training organization and contributing to knowledge networks.
Work Experience
A minimum of six years of progressive experience in administration, finance, and/or programme/project support is required with a secondary education. Alternatively, three years of relevant experience is required with a Bachelor's degree. Experience in administration and programme/project support is essential. Proficiency in computer and office software packages (MS Word, Excel) is necessary.
