Facilities Maintenance Helper
Organizational Context
The United Nations Development Programme (UNDP) is the UN's global development network, working in 170 countries to build integrated, lasting solutions for people and the planet. The UNDP Indonesia Country Programme supports national efforts to advance the 2030 Sustainable Development Agenda. This Facilities Maintenance Helper role operates under the guidance of the Administrative Analyst within the Strategy, Management, and Operations department.
Job Purpose
The Facilities Maintenance Helper provides essential support to operations by performing a variety of standard administrative and maintenance processes. This role ensures high-quality and accurate service delivery, promoting a client-oriented and results-focused approach. The incumbent collaborates closely with the Operations team and other UN agencies to ensure consistent service delivery and effective functioning of common premises. Key contributions include supporting operational strategies, managing maintenance checklists, assisting with asset management, coordinating office renovations, and supporting administrative and logistical needs for common services, all while adhering to UNDP's regulatory requirements and promoting sustainable practices.
Responsibilities
Provide basic operational support, including maintaining maintenance checklists, updating seating arrangements, and reporting issues. Assist in routine coordination for asset management, such as tagging, physical verification, record updates, and disposal support. Offer basic IT-related assistance, ensuring compliance with SOPs and UNDP regulations. Support the effective functioning of common premises by coordinating parking registration and office renovation requests with building management. Monitor and coordinate renovation works, review technical requirements, and support handover checks. Assist with mechanical or electrical settings. Provide administrative and logistical support to Common Premises agencies, including assistance for VIP residences and staff access card data entry. Support Green Office practices by monitoring electricity usage. Participate in training for operations and project staff. Uphold human rights, gender equality, and diversity principles in all actions.
Work Experience
A minimum of two years of experience in relevant administrative or maintenance tasks is required. Desired experience includes administrative support, coordination, basic correspondence, working with the UN system or similar organizations, supporting multi-stakeholder coordination, assisting with access systems and security, office renovation support, and asset management activities.
