Job Purpose
The Administrative Assistant for Projects will provide efficient and effective support for the administrative and financial processing of project activities within the "Strengthening the National Civil Registry and Identification Ecosystem of Honduras" project. This role is crucial for ensuring the successful implementation of project objectives and the optimal utilization of allocated resources. The incumbent will work in coordination with the existing technical and administrative team, contributing to the project's overall success in enhancing civil registry and identification processes in Honduras, including the biometric registration of children and adolescents and the development of a national identification ecosystem.
Responsibilities
Provide administrative assistance in project implementation, adhering strictly to UNDP procedures, focusing on efficient budget execution and effective controls. This includes managing micro-purchases, requisitions, tax exemptions, settlements, disbursement requests, and payments. Support the procurement of materials and supplies and assist in preparing and monitoring the annual project acquisition plan. Aid in managing counterpart relations, including organizing missions, project board meetings, and other relevant events, and drafting minutes. Assist in event setup, logistical arrangements, and ensuring timely delivery of inputs for settlements. Support the contracting and monitoring of consultants and assist in project audits. Provide financial management assistance, including payment reconciliations, identifying potential issues, supporting contingency measures for financial execution difficulties, and generating financial reports from UNDP systems.
Work Experience
A minimum of three years of progressively responsible administrative or project support experience is required. Experience in financial management, procurement, and event organization within a UN or international organization is highly desirable.
