Job Purpose
The Project Administration and Finance Associate provides essential administrative, logistical, and financial support to ensure the effective and timely implementation of project activities within the UNDP's Crisis Resilience unit in Papua New Guinea's Highlands region. This role is crucial for managing financial transactions, supporting work plan and budget formulation, coordinating procurement and HR plans, and facilitating project logistics. By ensuring efficient operations and adherence to UNDP procedures, the associate contributes to the successful delivery of the Highlands Joint Programme's objectives, which focus on peacebuilding, community resilience, and addressing the complex challenges of conflict and climate change in the region. The position also supports knowledge building and sharing to enhance project impact and sustainability.
Responsibilities
The Project Admin and Finance Associate is responsible for providing comprehensive administrative, logistical, and financial support for project implementation. Key duties include managing all financial transactions in compliance with UNDP regulations, preparing inputs for Annual Work Plans (AWPs) and detailed implementation plans, and assisting in budget formulation and revision. The role involves supporting the formulation and updating of procurement and Human Resource (HR) plans in coordination with the UNDP Country Office. Additionally, the associate will arrange logistics for official travel and workshops, manage payments, track outstanding payments, and assist with risk management in Quantum. Maintaining project supplies, facilitating asset and inventory counts, and managing the project filing system are also core responsibilities. The role further supports knowledge building by participating in training, organizing briefings, and assisting in the dissemination of project data and lessons learned.
Work Experience
A minimum of 6 years of progressively responsible administrative or project experience is required with a secondary education. Candidates with a bachelor's degree need a minimum of 3 years of relevant experience. Experience with computers, office software packages (MS Word, Excel), and web-based management systems is essential.
Skills
Proficiency in MS Word and Excel, experience with web-based management systems, and advanced spreadsheet/database skills. Competencies include achieving results, innovative thinking, continuous learning, adaptability, determination, engaging and partnering, and enabling diversity and inclusion. Technical skills encompass working with evidence and data, digital literacy, customer/client management, communication, monitoring and evaluation, budget management, and procurement management.
