Organizational Context
The United Nations Development Programme (UNDP) in Guatemala supports national efforts towards sustainable, resilient, equitable, and inclusive development. This role supports the Ministry of Social Development (MIDES) in implementing priority actions for poverty reduction, nutrition improvement, and habitat enhancement, working through responsible parties with formal agreements.
Job Purpose
This role is responsible for overseeing, monitoring, and verifying all logistical activities within assigned projects to ensure compliance with UNDP norms, procedures, and applicable administrative standards. The position ensures that documentation, reports, processes, and decisions made by responsible parties are coherent, traceable, verifiable, and aligned with UNDP regulations, contributing to transparent management and efficient resource utilization. The role also facilitates coordination between responsible parties and other stakeholders to ensure smooth communication, fulfillment of agreements, and mitigation of potential conflicts that could impact project deliverables and administrative management.
Responsibilities
Key responsibilities include systematically reviewing project execution reports from responsible parties (PRs) to ensure coherence with agreements, verifying alignment with UNDP policies (procurement, SEA/SH, anti-terrorism, integrity, fund management), and validating logistical processes against established operational criteria. The role involves reviewing technical and financial reports for consistency, ensuring completeness of documentation, and monitoring compliance with KPIs and deadlines. Data monitoring and verification from the office are crucial, including supervising the update of monitoring systems, analyzing data for risks and deviations, and ensuring PRs apply risk management protocols. The position also entails maintaining traceable communication with PRs, organizing follow-up meetings, preparing internal reports, and ensuring compliance with mandatory UNDP policies such as anti-corruption, anti-fraud, SEA/SH, and transparent procurement. The role requires documenting and escalating any detected incidents or risks and preparing evidence for audits.
Work Experience
The role requires experience in supervising, monitoring, and verifying logistical activities. This includes experience in reviewing project execution reports, ensuring compliance with organizational policies and procedures, and managing documentation. Experience in coordinating with external parties and analyzing data for risk assessment is also implied.
