The UNDP Dominica Project Office, established in 2017 post-Hurricane Maria, focuses on recovery, reconstruction, disaster preparedness, climate resilience, and sustainable development initiatives. Job Purpose
The Administrative Assistant/Driver provides essential driving, courier, and administrative support to the UNDP Dominica Project Office and other UN agencies. This role ensures the safe and reliable transportation of personnel and goods, manages office supplies, assists with logistical arrangements for travel and events, and supports procurement and administrative tasks. The position contributes to the efficient operation of the office and the successful implementation of UNDP's development initiatives in Dominica, including climate resilience and economic recovery projects. The role also involves maintaining the assigned vehicle and supporting office maintenance and asset management.
Responsibilities
Provide reliable and secure driving services for authorized personnel and the transport of documents and packages. Offer courier services, including airport pick-ups and customs assistance. Offer administrative and logistical support, including preparing shipments, customs clearance, and supporting procurement by obtaining quotations. Arrange travel, transportation, and hotel accommodations for staff and visitors. Support conferences, workshops, and events. Monitor and purchase office supplies and assist with supplier payments. Maintain the assigned vehicle through regular checks, minor repairs, and ensuring timely servicing. Manage vehicle logs and assist with maintenance plans and reports. Ensure immediate action in case of accidents. Support office maintenance, asset management, and inventory control. Assist with conference room setup and preparation of project materials.
Work Experience
A minimum of three years of relevant work experience in administrative support services is required. Experience in driving throughout Dominica, with knowledge of local rules and regulations, a demonstrated safe driving record, and skills in minor vehicle repair are essential. Experience in the UN, international organizations, or NGOs is an asset.
Skills
Proficiency in computer usage and office software (MS Word, Excel, PowerPoint, Outlook). Excellent communication and organizational skills. Strong interpersonal skills, with the ability to work with diverse socioeconomic and multicultural backgrounds. Effective communication with colleagues, beneficiaries, and office visitors. Experience in logistical support (procurement, customs, travel, conference facilitation). Experience in administrative support (filing, record keeping, data entry). Driving experience in Dominica with knowledge of regulations and safe driving record. Fluency in written and spoken English.
