Organizational Context
The United Nations Development Programme (UNDP) in Brazil is implementing project BRA/23/009, "Strengthening Innovation and Effectiveness in the JFCE's Performance for People-Centered Justice." This project, in partnership with the Federal Justice of Ceará (JFCE) and supervised by TRF5, aims to enhance judicial services through innovation and a people-centered approach aligned with the 2030 Agenda and SDGs. This role is within the project management axis, providing operational and administrative support.
Job Purpose
The Project Associate role is integral to the efficient management and implementation of project BRA/23/009. The primary purpose is to provide comprehensive operational, administrative, and monitoring support to the project's technical coordination and teams. This involves executing daily tasks, producing essential documentation, organizing project information, and assisting in tracking progress against objectives. By ensuring smooth operational workflows and accurate information management, the role directly contributes to the project's success in strengthening innovation and effectiveness within the Federal Justice of Ceará, aligning with the principles of people-centered justice and the Sustainable Development Goals. The position is office-based and requires close collaboration with project and JFCE teams.
Responsibilities
The Project Associate is responsible for providing operational support to the project's implementation, focusing on administrative tasks, document production, information organization, and monitoring support. Key duties include updating project schedules and work plans, maintaining monitoring systems and dashboards, and collecting/systematizing data from project teams to support indicator tracking. The role involves preparing meeting minutes, presentations, and reports, as well as drafting and reviewing Terms of Reference and administrative documents. Additionally, the associate will provide administrative and logistical support for personnel management, monitor consultancy deliverables, assist with travel arrangements and event organization, and manage the project's document repository to ensure information traceability and systematic record-keeping. Support for knowledge management activities, including the systematization of best practices and lessons learned, is also a core responsibility.
Work Experience
A minimum of 6 years of relevant experience is required for candidates with a High School Diploma, or 3 years for those with a University Degree. Experience should be in administrative support, project management, activity monitoring, document production, or related functions. Experience with project monitoring, data management, public sector projects, the justice system, or international organizations is desirable.
Skills
Proficiency in information technology and the Microsoft Office suite is required. Desirable skills include experience in project monitoring (metrics, indicators, goals), data organization and utilization for management support, and familiarity with project management methodologies (e.g., Agile, Scrum, Kanban). Experience in producing and organizing institutional documents within project contexts is also beneficial. Fluency in Portuguese is required, with basic English proficiency being desirable.
