Organizational Context
The United Nations Development Programme (UNDP) operates in approximately 170 countries, focusing on poverty eradication, reducing inequalities, and building resilience to achieve Sustainable Development Goals. Within the Jordan Country Office, the Programme Management Support Unit (PMSU) is responsible for performance management and delivery acceleration, supporting programme implementation and strategic objectives.
Job Purpose
The Programme Support Assistant provides essential administrative, logistical, and documentation support to the Programme Specialist and the Programme Management Support Unit (PMSU) in the UNDP Jordan Country Office. This role is crucial for the efficient and compliant implementation of programme activities, ensuring adherence to UNDP guidelines and procedures. The assistant contributes to delivery monitoring, pipeline management, and resource management processes, facilitating effective project execution and supporting the achievement of the PMSU's objectives. The position requires working collaboratively within multidisciplinary teams, embracing a portfolio approach to adapt to changing business needs and enhance horizontal collaboration across units and projects.
Responsibilities
Provide comprehensive administrative and logistical support to the Programme Support Unit, including arranging meetings, workshops, and events, and preparing related documentation and minutes. Support programme delivery monitoring by tracking project progress, workplans, and deadlines, and compiling updates from programme teams. Offer documentation and reporting support by maintaining organized filing systems, formatting reports, briefs, and presentations, and assisting in data collection for results reporting. Ensure compliance with UNDP rules and procedures by reviewing documentation and supporting the processing of administrative, procurement, finance, and HR-related tasks. Assist in resource, pipeline, and risk management processes by maintaining tracking records and supporting information organization. Facilitate communication and coordination by liaising with programme teams and stakeholders, drafting correspondence, and supporting knowledge management activities. Perform other duties as assigned, including flexible support across units and projects.
Work Experience
A minimum of 5 years of relevant experience is required with secondary education, or 2 years of experience with a Bachelor's degree. Experience should be in programme support, project coordination, or administrative assistance within international organizations, UN agencies, NGOs, government institutions, or development projects.
Skills
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook). Experience in programme implementation support, workplan tracking, and deadline management. Skills in report preparation, documentation, and records management. Experience in organizing events and logistical arrangements. Familiarity with monitoring tools, data analysis, and documentation practices. Fluency in English and Arabic is required.
