Organizational Context

Job Purpose
This role provides essential administrative, operational, and financial assistance for the effective implementation of development projects. The primary purpose is to facilitate internal processes, ensuring that project activities are executed efficiently and in accordance with UNDP standards and project objectives. This includes supporting project planning, resource management, stakeholder engagement, monitoring, and knowledge management to achieve expected results and contribute to the overall success of the project's mission in Paraguay.
Responsibilities
Provide comprehensive administrative and logistical support for project implementation, ensuring adherence to project documents and work plans. Manage and plan administrative activities including procurement, finance, contract management, recruitment, payments, reconciliations, budget reviews, and inventory. Assist in drafting and reviewing project communications and documents, ensuring compliance and identifying inconsistencies. Support the preparation of the Annual Operational Plan (AOP) and Procurement Plan. Organize field missions and other project-related activities, with willingness to travel domestically. Establish and maintain operational contacts with UN agencies, government institutions, and project partners. Support the maintenance of partner databases and the organization of events like workshops and public dissemination activities. Assist in financial reporting and budget monitoring to ensure efficient and transparent resource utilization. Support knowledge management by organizing project archives and participating in capacity-building activities.
Work Experience
A minimum of 4 years of relevant work experience is required with a secondary education, or 1 year of experience with a Bachelor's degree in Administration. Experience in administrative support for development projects, financial/administrative reporting, using financial systems (e.g., Quantum), and working with international organizations is desirable.
Skills
Proficiency in computer tools (Word, Excel, PowerPoint, Email, AI). Strong communication, client service, project management, resource management, and document/record management skills. Ability to build and maintain relationships with diverse stakeholders. Fluency in Spanish is required; basic English is desirable.
