Job Purpose
The Project Assistant (Communications) provides essential administrative and logistical support to the Project Manager, team members, experts, and consultants. This role is crucial for the smooth execution of project activities, including meetings, trainings, workshops, and stakeholder consultations. The position ensures effective communication flow between the project team and the UNDP Türkiye Communications Unit, manages project documentation, and supports outreach and public relations activities. The role also contributes to visibility efforts by assisting in the preparation of communication materials and managing project website updates, ensuring compliance with EU and UNDP guidelines.
Responsibilities
Provide comprehensive administrative and logistical support to the Project Manager, team, experts, and consultants for project activities like meetings, trainings, and workshops. Manage correspondence, maintain project files, and ensure regular information flow with project personnel. Coordinate appointments and handle inquiries via telephone, fax, post, and email. Support the archiving of project documents and assist during audit processes. Facilitate communication between the project team and the UNDP Türkiye Communications Unit. Assist in organizing social media communication and events, and support general project outreach and PR activities, including website updates. Prepare and format project newsletters, presentations, and official letters in English and Turkish, adhering to visibility guidelines. Aid in creating success stories, short movies, and promotional materials, and monitor their usage.
Work Experience
Minimum of 5 years of progressively responsible administrative or project experience with a high school diploma, or 2 years with a Bachelor's degree. Experience working with government entities, organizing events, and creating written communication materials is desired. Experience within EU project frameworks and using social media communication tools is also beneficial.
Skills
Excellent command of office software (word processors, spreadsheets, databases). Strong communication skills (written and verbal). Ability to manage communications internally and externally. Event management support. Working with evidence and data. Digital awareness and literacy. Customer satisfaction/client management. Monitoring project activities. Budget management support. Proficiency in English and Turkish.
