Organizational Context
The United Nations Development Programme (UNDP) operates globally to eradicate poverty, reduce inequalities, and build resilience. The Office of General Operations (OGO) oversees premises management for UNDP Country Offices, Regional Hubs, and HQ, including leasing, renovation, and property management. This role supports OGO's oversight of the global premises portfolio and common premises arrangements.
Job Purpose
The Premises Associate, under the Operations Analyst's supervision, supports the OGO Global Premises Team by reviewing business cases and legal agreements for premises submitted by Country Offices. This role requires a client-oriented approach, analytical skills, attention to detail, and cross-cultural collaboration. The position contributes to the corporate oversight of UNDP's global premises portfolio and system-wide common premises arrangements, ensuring alignment with strategic goals and adapting to evolving business needs through a portfolio approach.
Responsibilities
Support efficient premises management by reviewing, processing, and tracking premises-related cases from Country Offices (COs). This includes assessing business cases and proposals for conformity with UNDP standards, reviewing draft agreements (leases, MoUs, MoAs) for risks, and providing feedback. The role involves liaising with various UNDP units and UN agencies, ensuring quality control of documentation, and acting as a first-line reviewer for submissions. Additionally, assist with contract tracking, monitor compliance with premises standards, and support administrative and financial control by preparing reports, presentations, and maintaining relevant trackers. Facilitate knowledge building and sharing by contributing to guidelines, supporting training sessions, and drafting Standard Operating Procedures.
Work Experience
A minimum of 6 years of relevant experience with a secondary education, or 3 years with a bachelor's degree, in operations, administration, or premises/facilities management is required. Proficiency in computer office software (MS Word, Excel), data packages, and web-based management systems (e.g., ERP, SharePoint) is essential. Experience reviewing and managing leases and premises-related agreements is desirable.
