Organizational Context
The UNDP Seoul Policy Center (USPC), established in 2011, serves as a global knowledge exchange hub and applies innovative development solutions for the SDGs. It interfaces with the Korean government, acts as a knowledge center for new development partners, and facilitates learning and capacity development. The Operations Assistant supports the overall administration and execution of operational and logistical activities within the center.
Job Purpose
The Operations Assistant provides crucial support to the UNDP Seoul Policy Center (USPC) by assisting in the administration and execution of diverse operational and logistical activities. This role ensures the smooth functioning of the office by supporting compliance with UN/UNDP rules, managing administrative tasks for the Director, assisting with human resources and financial management, and facilitating travel and project support. The position also contributes to the organization and management of events and procurement processes, ensuring high-quality, accurate, and client-oriented service delivery in alignment with the center's objectives and the achievement of the Sustainable Development Goals.
Responsibilities
The Operations Assistant is responsible for supporting the implementation of operational strategies and activities, ensuring compliance with UN/UNDP regulations. This includes assisting the Director with calendar management, appointments, and document preparation. The role supports human resources functions such as recruitment and contract management, and financial management including budget preparation, analysis, and reporting. Travel management, including itinerary and expense processing, is also a key responsibility. Furthermore, the assistant supports project management, corporate reporting, and the development of standard operating procedures. In logistics and protocol, responsibilities include supporting procurement processes, supplier management, event organization, asset management, and logistical support for missions. The role also involves managing correspondence, calls, and maintaining filing systems, contributing to the efficient functioning of the office.
Work Experience
A minimum of 4 years of relevant experience in administration, operations, or program support is required with a secondary education. This requirement is reduced to 1 year of experience with a Bachelor's degree. Proficiency in computer and office software (MS Word, Excel, PowerPoint) is essential. Experience in project administration, operations support, financial management, or research is advantageous.
