Asistente Administrativo de Finanzas
Organizational Context
UN Women is dedicated to gender equality and the empowerment of women. This role supports projects funded by the Peacebuilding Fund (PBF), ensuring efficient and transparent execution through monitoring work plans, budgets, and operational processes. The Finance Assistant will work closely with program and project staff, as well as the operations team, to ensure high-quality service delivery.
Job Purpose
The Finance Assistant provides crucial administrative and financial support to the Project Manager within the Women, Peace, and Security section. This role is vital for the effective implementation of PBF-funded projects, ensuring timely and accurate financial management, budget tracking, and operational support. By managing payments, budgets, and procurement processes, the assistant contributes to the overall success and objectives of the projects, facilitating smooth operations and supporting partner coordination.
Responsibilities
Manage financial and budgetary processes, including preparing payment requests, supporting budget consolidation, and processing requisitions in the ERP system. Maintain updated project inventories. Provide administrative and logistical support for project activities such as travel, meetings, and workshops. Assist in procurement processes for purchases under $5,000, including obtaining quotations, registering vendors, and preparing purchase orders. Support the tracking of partner deliverables and disbursement procedures. Maintain updated contact lists and partner records. Ensure accurate filing of correspondence and project documentation.
Work Experience
A minimum of 4 years of progressively responsible experience in administration, procurement, or finance is required with a secondary education. With a Bachelor's degree, 1 year of experience is sufficient. Experience with MS Office, web-based management systems, and customer-oriented work is necessary. Experience with an ERP system like Oracle Cloud and with externally funded projects is desirable.
